Time and Attendance

Policy

Punctuality and regular attendance is essential and is expected of all administrative employees. Frequent tardiness and absence from work causes a burden and limits the ability of the area to perform optiminally. Recognizing that some absences are inevitable and unavoidable, reasonable allowances have been made for the occasional absence as stated in our policies. Employees are expected to give "Proper Notice" when they will be late in arriving or absent.

Absence
  1. An absence is defined as any occasion when an employee fails to report on a scheduled day of work.
  2. When the need for an absence is known beforehand, the employee must provide his/her immediate supervisor with as much advance notification as possible.
  3. When an absence is not anticipated in advance, the employee must notify his/her department before 10:00 a.m.
Late Arrival
  1. When the employee knows beforehand that he/she will arrive late, advance notification must be given to his/her immediate supervisor.
  2. When a late arrival has not been anticipated in advance, the employee must notify his/her immediate supervisor before 10:00 a.m. if circumstances permit such notification.

Supervisors are to make a determination when "Proper Notice" is not given and exercise discretion as to whether disciplinary action should be taken. Consult with the Director of Human Resources when such action must be taken.

  1. When tardiness and absenteeism is repetitive and excessive, or when patterns of tardiness or absenteeism are evidenced, the employee will be subject to appropriate disciplinary action.
  2. Absences of three (3) or more consecutive work days without notice shall be considered abandonment of the job and the employee shall be terminated as voluntary resignation.
  3. An employee may be asked to submit a physician's statement for any absence of three (3) or more consecutive work days.
Procedure
  1. Record all late arrivals and absences on the Administrative Attendance Record Form or the Staff bi-weekly timesheet.
  2. When "other" code is use, explain reason for the absence and indicate the employee should be paid for lost time.
  3. The Administrative Attendance Record Form is completed on a monthly basis. Staff timesheets are completed on a bi-weekly basis.
  4. The Attendance Record Form must be signed by the department head and forwarded to the Department of Human Resources no later than the 10th of each month following the month covered by the report. Staff timesheets are due in Human Resources by noon on the last day of the pay period.
  5. Supervisors must consult with the Department of Human Resources in advance if disciplinary action is warranted.
